We are the "data controller" of the personal information described in this policy. This means we are responsible for deciding how and why your information is used.
2. What this policy covers
This policy explains what personal information we collect when you apply to, interact with, or use Autonomy Academy, how we use it, who we share it with, and the rights you have over it. We take your privacy seriously and only collect what we genuinely need.
3. The information we collect
When you apply to join Autonomy Academy or book a call with us, we collect a limited amount of personal information:
- Your name
- Your email address
- Your phone number
We also collect any answers you choose to give us in our application form, and basic technical information automatically generated when you use our website (see the Cookies section below).
We do not collect or store payment card details ourselves — any payments are handled by a secure third-party payment provider.
4. How we use your information
We use your information only for the following purposes:
- To review and respond to your application to join the Academy.
- To contact you about your application, including by email, SMS and phone, and to arrange and confirm calls with our coaches.
- To send you reminders and information relating to calls you have booked.
- To provide you with access to our free community, training and jobs board if you are accepted.
- To send you marketing and updates about Autonomy Academy, where you have agreed to receive them. You can opt out at any time.
- To run, improve and protect our services.
5. Our lawful bases for using your information
Under UK data protection law, we must have a lawful basis for using your personal information. We rely on the following:
- Your consent — for sending you marketing emails and SMS messages. You can withdraw this at any time.
- Taking steps at your request before entering a contract, and performing a contract — for processing your application, contacting you about it, and delivering the programme if you join.
- Our legitimate interests — for the day-to-day running, security and improvement of our business, where this does not override your rights.
6. Who we share your information with
We never sell your information, and we never share it with advertisers or sponsors for their own marketing.
To run our service we do use trusted third-party providers who process your information strictly on our instructions and only to deliver our service to you. These currently include:
- Our email marketing provider (used to send application updates and communications).
- Our SMS provider (used to send booking confirmations and reminders).
- Our scheduling and call-booking provider.
- Our customer relationship management (CRM) and automation tools.
These providers are bound by contract to keep your information secure and to use it only for the purposes we specify. We may also disclose information if we are legally required to do so, or to protect our rights, safety or property.
7. International transfers
Some of our providers may store or process information outside the UK. Where this happens, we make sure appropriate safeguards are in place (such as a UK adequacy decision or the UK International Data Transfer Agreement / Addendum) so your information receives an equivalent level of protection.
8. How long we keep your information
We keep your information only for as long as we need it:
- If your application is unsuccessful, we keep your details for a limited period in case future opportunities arise, after which we delete them.
- If you become a member or client, we keep your information for the duration of our relationship and for a reasonable period afterwards to meet our legal, accounting and record-keeping obligations.
- If you opt out of marketing, we keep a minimal record of your opt-out so we can honour it.
9. How we protect your information
We use appropriate technical and organisational measures to keep your information secure and to prevent unauthorised access, loss or misuse. No system is ever completely secure, but we take reasonable steps to protect your data.
10. Your rights
Under UK data protection law you have the right to:
- Access the personal information we hold about you.
- Ask us to correct information that is inaccurate or incomplete.
- Ask us to delete your information in certain circumstances.
- Object to or restrict how we use your information.
- Withdraw your consent at any time (for example, by unsubscribing from marketing).

11. Marketing and how to opt out
If you have agreed to receive marketing from us, you can opt out at any time by clicking the "unsubscribe" link in any email, replying STOP to any SMS, or emailing us at dan@autonomyacademy.org. Opting out of marketing will not affect communications relating to a call you have booked or a programme you have joined.
12. Cookies
Our website may use cookies and similar technologies to make the site work, understand how it is used, and improve your experience. You can control cookies through your browser settings, and where required we will ask for your consent before placing non-essential cookies.
